Data and AI policy

What we collect, how we use AI, and what we never do. Updated October 2026.

What we collect

From this website: what you type into the request form, and basic technical logs our hosting provider keeps. The deadline lookup runs in your browser on public HUD and USDA data; we don't record your searches.

From clients: the documents needed to prepare your filings, such as your current plans, policies, prior reports and program figures. Plans and policies do not need tenant or client personal data, and we ask you not to send it unless a filing requires it. Homeless-program APR uploads are aggregate counts.

How we use AI

Software, including large language models, drafts and checks documents from your materials, the regulations and HUD's and USDA's templates. A person reviews every document before it goes to you or to an agency. We use AI providers that do not train their models on our customers' data.

What we never do

  • Never use anyone else's loginEach person on our team uses their own access, granted by you.
  • Never automate a government systemNo bots, scripts or AI agents on HUD, USDA or state systems.
  • Never sell or share your dataYour documents are used only to do your work.
  • Never put content on a blockchainThe verified filing record stores only a document's fingerprint and timestamps.

Keeping and deleting

We keep your documents while you're a client and for the record-keeping period your program requires, then delete them on request. Request-form details are kept only as long as needed to answer you.
